Grounds & landscaping

We run a grounds maintenance company. This page is our actual Tuesday.

Not a pitch — a working day. The 7am load-ups, the evening plans with departure times, the receipts read off the paper, the upsells caught at the gate: all of it runs right now, every day, in our own London grounds business. You’re not buying an idea. You’re copying a machine that already works.

We solve the day-to-day problems of running your business · Built on a system running daily in a real London field-service company · Standard automations from £995 · No long contracts · Plain English, always

A grounds maintenance yard at dawn, vans being loaded while the owner checks the morning briefs with a coffee
6:45am at the reference yardThe briefs went out at half six. Everyone knows their teammate, their first job and their departure time. Nobody has asked the owner anything.
Sound familiar?

Questions our agent answered this morning — so nobody rang us.

“Do we need the bowser today?”

Your kit rules, applied automatically. In the reference system the water-fed kit loads only for balcony cleans, driveway cleans, or when the notes say the water source is indoors — never for an ordinary patio with an outside tap.

“The mower won't start — who do I ring?”

Nobody, yet. The agent answers the first checks from your policy file — spark plug cap, plug condition, fuel, try it without the air filter — before anyone rings the office. Still dead? Now it's a phone call.

“Where do I tip the green waste?”

Answered instantly with your approved tip and the account arrangement — with anything sensitive held back from the chat, exactly the way you'd want it handled.

“Who am I with tomorrow, and when do we leave?”

The evening message answers before they ask: teammate, first job, meeting point, departure time in bold. Check it before you switch off — that's the whole instruction.

“The client wants her driveway cleaned too — who do I tell?”

The agent. It interviews the crew member — surname, postcode, size, photos — and a quotable upsell card lands with the office before the van's loaded. This exact flow runs daily in the reference business.

“Whose keys are on the dashboard?”

Client keys are bolded out in the morning brief and reminded back the next morning, naming the client. In our experience, that reminder alone pays for the system.

Real scenarios, automated

Copy our homework. It’s already marked.

Every scenario below is drawn from the working system — configured for gardening and grounds maintenance firms. The conversations show exactly what your crew would see on their phones.

7am, automatically

The load-up that knows the difference

Two balcony cleans and a patio job tomorrow. Does the bowser go in the van?

Yes — but only because of the balconies. The patio line adds nothing, because the client has an outside tap and your rule says so. Mowers, strimmers and blowers never appear on the list; the van always carries them.

That's what “rule-based” means in practice: your one-line rule, applied perfectly, every morning, forever.

The driveway upsell — the real one

A client mentions a driveway clean at the gate. Sixty seconds later your crew's driving away. What survives?

In our reference system: everything survives. The crew member messages the agent; it checks what's missing — surname, postcode, size — and offers one-tap options; the office receives a card it can quote from.

You've seen the screenshots on our home page. That's this exact flow, photographed off a real phone.

Could use: the client's surname (I've only got a first name), postcode, size. Photos help quoting. Send it over if you've got it — or no worries, just tap Send anyway.10:45

The ride-on that won't start

Biggest contract site of the week, and the ride-on's dead. Does the whole crew stand around waiting for you to pick up?

First, the agent walks them through your checks — fuel tap, seat switch, the usual suspects — because half the time that's all it is. Still dead? Photo and a note to the agent: it files a Broken Tools card with the description, and you answer repair-or-swap from wherever you are.

The job keeps moving either way. That's the point.

Before ringing anyone, check in order: 1. Fuel tap is on · 2. Seat switch — sit fully down · 3. Blades disengaged · 4. Battery terminals tight. Any luck?09:15

Green-waste tickets and fuel, filed while you sleep

How many tip tickets are turning to mulch in glove boxes right now?

Through the week, every ticket and receipt gets photographed into the same chat. The agent reads the vendor and the amount off the paper and files each one per person, per day. At 5:30, only the crew who worked get the nudge for anything missed.

Friday reconciliation stops being an archaeology dig.

The evening plan — approved from the sofa

How long does tomorrow's plan take you tonight? An hour of texts? Ours takes thirty seconds.

At 5:30 the owner gets a preview: teams grouped from the job system, sensible pairings suggested — drivers anchor, riders move. Adjust by text or voice note, approve once, and the agent writes the teams into the job system and messages every crew member their evening plan.

Overnight change checks at 9:30 and 6am watch the plan. You're woken only if something actually moved.

Quote follow-upThe driveway clean from the upsell

The lead your crew captured at the gate becomes a quote — and if it's not answered in three days, the follow-up goes out itself.
